Meetings should be a place for energy, direction and progress. But if you’re like many global leaders I work with, you know all too well the feeling of sitting through meetings that drift, lack focus, and achieve very little. They take up your time without driving your goals and progress forward.

So, what’s the real problem? It often comes down to one thing: a lack of clarity in communication.

In this article, based on the podcast episode, I’m sharing a practical framework I use every day with my clients to help them communicate clearly, lead meetings with intention, and ensure they drive the outcomes that matter. Why Clarity Matters for Global Leaders

Recent research shows that 63% of people say they’ve wasted time in meetings due to communication issues. Even more striking, 86% believe poor communication is the leading cause of workplace failure.

On the positive side, 64% agree that effective communication directly increases productivity. 

And when we talk about clarity, we’re not only discussing the agenda. We’re talking about purpose, people, planning, and how to communicate in a way that brings alignment and action, especially in global and culturally diverse teams.

The Five Ps of Clarity

To help you lead more effective meetings and sharpen your leadership communication, I’ve developed a practical framework – the Five Ps of Clarity. It’s designed for busy global leaders who want to prepare in limited time for maximum impact.

1. Purpose

Every meeting needs a clear purpose, and this comes in two parts: the goal and the intention. The goal is the outcome you’re aiming for, whether it’s a decision, a plan or a progress check.

But just as important is the intention. What relationship dynamic do you want to create? What impression do you want to leave? Meetings are human interactions, and the energy you bring sets the tone. Whether it’s about inspiring action or managing challenge, be intentional.

2. People

Think about who’s in the room, or on the call. What do they need to know, feel and do?

This is where your cultural intelligence comes into play. Global leadership means working with diverse communication styles, personalities and expectations. Consider who might hold back in group settings, who prefers detail, and who needs time to reflect. Your job is to create an inclusive space where all voices can be heard and feel safe to contribute meaningfully.

3. Plan

Don’t just set an agenda, design the conversation. Think about how the meeting will run. Could it be a walking meeting for a smaller group? Would a different format create a better energy?

You can also use the “What, So What, Now What?” model to shape your message:

  • What are you sharing?

  • So What – why does it matter to those in the room?

  • Now What – what needs to happen next?

4. Prioritise

Too many meetings drift because they try to cover everything. Instead, decide on the top 1 to 3 priorities and be clear from the start. If the conversation veers off course, you can confidently steer it back or note down additional topics for another time.

5. Point

This is all about action. Many meetings run out of time before decisions are agreed or next steps are confirmed. Build in time to lift out of the detail and clarify what needs to happen next, who’s responsible and what the key milestones are.

This is where real momentum is built, when meetings are no longer just talking shops, but platforms for progress.
